Terms and Conditions
VTC SAĞLIK HİZMETLERİ SANAYİ VE TİCARET A.Ş. (VITRIN CLINIC)
Please read these Terms and Conditions carefully before using our website or arranging treatment with us. By using our website or our services, you agree to these Terms.
1. Purpose and Scope
These Terms and Conditions (the "Terms") govern your use of www.vitrinclinic.com, its language versions and all other digital channels of Vitrin Clinic, including our social-media accounts, WhatsApp line and online consultation forms.
They apply to everyone who visits our website and to every patient who contacts us for a consultation, a treatment plan or treatment.
2. Definitions
In these Terms:
"Vitrin Clinic", "we", "us" or "our" means VTC Sağlık Hizmetleri Sanayi ve Ticaret A.Ş. and its clinic in Başakşehir, Istanbul.
"Website" means www.vitrinclinic.com, all its language versions and subpages.
"Patient" or "you" means any person who contacts Vitrin Clinic to receive information, a consultation or treatment.
"International Patient" means a patient who travels to Türkiye from another country for treatment.
"Preliminary Assessment" means the initial, non-binding evaluation our team makes from the photos, X-rays, scans and information you send us before you visit the clinic.
"Clinical Examination" means the in-person examination carried out by a licensed dentist at our clinic, including any imaging needed.
"Treatment Plan" means the written plan prepared after your Clinical Examination, setting out the procedures, timeline and price of your treatment.
"Warranty Certificate" means the document given to you at the end of treatment that sets out the scope, duration and conditions of the warranty for your treatment.
"Services" means all dental, consultation, coordination and support services Vitrin Clinic provides, including those arranged for International Patients.
3. Acceptance of These Terms
To use our Services, you must be at least 18 years old and legally able to enter into a contract. Treatment of patients under 18 can be arranged only with the consent and involvement of a parent or legal guardian.
By accessing our Website or using our Services, you confirm that you have read, understood and accepted these Terms. If you do not agree with them, please do not use our Website or Services.
If you contact us on behalf of someone else, such as a family member, you confirm that you are authorised to do so and that you will share these Terms with them.
4. Use of the Website
You may use our Website only for personal, non-commercial purposes. You must not:
post or send content that is unlawful, harmful, misleading, offensive or that infringes anyone's rights
attempt to disrupt, damage or gain unauthorised access to the Website, its servers or its data
use bots, scrapers or other automated tools to copy or collect content or data from the Website
use the Website for any unlawful or fraudulent purpose
We may suspend or restrict access to the Website, without notice, for anyone who breaches these rules.
5. Website Information Is Not Medical Advice
The content on our Website, including treatment pages, blog articles, patient guides, before-and-after images, prices and videos, is for general information only. It is not a medical diagnosis, a treatment recommendation or a substitute for an examination by a dentist.
A dentist–patient relationship begins only when you have a Clinical Examination with one of our dentists, not when you read our Website or send us a message.
Always consult a qualified dentist or physician before making decisions about your health. Do not delay or ignore professional advice because of something you read on our Website.
6. Free Consultation and Remote Assessment
We offer free online consultations and Preliminary Assessments through our website forms, WhatsApp, e-mail, phone and video call.
A Preliminary Assessment is informative and preliminary. It is not a diagnosis.
Its accuracy depends on the quality and completeness of the photos, X-rays, scans and medical information you give us.
Your final diagnosis and Treatment Plan can only be confirmed after a Clinical Examination at our clinic.
7. Clinical Examination and Treatment Plan
A definitive diagnosis is made only after your Clinical Examination, including any X-rays or CBCT scans the dentist considers necessary.
The examination may show that the treatment needed differs from the Preliminary Assessment. As a result, the scope, number of teeth, materials, duration, number of visits or method of your treatment may change. If this happens, your dentist will explain the reasons, and no change will be made without your informed consent.
Your dentist will choose the treatment method and materials based on clinical judgement and your best interests. If your case requires it, we may refer you to another specialist, or advise against a treatment we do not consider safe or suitable for you.
Before treatment begins, you will be asked to sign an informed consent form for each procedure.
8. Price Quotes
Any quote based on a Preliminary Assessment is an estimate. Your final price is confirmed in the Treatment Plan after your Clinical Examination.
Each quote is valid for the period stated on it [e.g. 30 days] and covers only the items listed.
Services not listed in the quote, such as additional teeth, extra procedures, sinus lifts, bone grafts or extra nights of accommodation, are not included. Any additional treatment will be priced separately and carried out only with your consent.
Payment, deposit and cancellation terms are set out in our [Payment and Cancellation Policy / your Treatment Plan].
9. Your Responsibilities as a Patient
To make sure your treatment is safe and successful, you agree to:
give us complete and accurate information about your medical and dental history, medications, allergies, pregnancy, smoking and other relevant lifestyle factors
tell us promptly about any change in your health before or during treatment
follow all pre-treatment and aftercare instructions given by your dentist
attend your scheduled appointments and follow-up checks, or let us know in good time if you cannot
maintain good oral hygiene after treatment
International Patients: plan your travel dates and length of stay in line with your dentist's recommendations, and avoid booking return flights before your treatment is complete
If you do not meet these responsibilities, your treatment outcome may be affected and your warranty may become invalid.
10. Treatment Results and Expectations
Every medical and dental procedure carries some risk, and results vary from person to person depending on factors such as bone quality, gum health, general health and how well aftercare instructions are followed.
Your dentist will explain the expected benefits, risks and alternatives of your treatment. However, Vitrin Clinic cannot guarantee a specific aesthetic or functional result.
Digital smile designs, mock-ups and simulations are planning and communication tools only. The final result may differ from them.
Once you have approved and your dentist has finalised the shade, shape and size of your crowns or veneers, any later change you request for personal preference will require a new procedure at additional cost and is not covered by the warranty.
11. Warranty
We offer warranties on certain treatments, such as dental implants, crowns and veneers. The scope, duration and conditions of the warranty for your treatment are set out in your Treatment Plan and Warranty Certificate.

For your warranty to remain valid, you must:
follow your dentist's aftercare instructions
attend regular follow-up checks [e.g. every 6–12 months] with Vitrin Clinic or a dentist of your choice, and send us the report and X-rays when we request them
tell us promptly when you notice a problem
meet any other conditions stated in your Warranty Certificate
The warranty covers the repair, correction or replacement of the treated work. It does not give a right to a cash refund unless this is expressly stated in writing.
12. What the Warranty Does Not Cover
The warranty does not cover problems caused by or related to:
poor oral hygiene
smoking, tobacco use or excessive alcohol consumption
missed follow-up checks
not following your dentist's instructions
accidents, trauma, sports injuries, grinding or clenching (bruxism) without wearing a recommended night guard, or biting hard objects
uncontrolled general health conditions, such as diabetes or osteoporosis, or medications that affect the bone and gums
natural changes in the gums, bone or teeth over time
changes in your personal aesthetic preferences
treatment that was not completed as planned, or stages you chose not to have
normal wear and tear of materials
work done on the treated teeth by another dentist without our prior knowledge
13. Reporting Problems and Aftercare Support
If you experience any problem after treatment, please contact Vitrin Clinic first, through your patient coordinator, WhatsApp or e-mail. Send us a description and, where possible, photos or X-rays.
Our dentists will assess the issue remotely. If needed, we will invite you back to the clinic for an examination or repair under the terms of your warranty.
In an emergency, you should seek care from a local dentist or emergency service right away. Please share any reports, X-rays and treatment records with us afterwards.
If extensive work is carried out on your treatment by another dentist without informing us, we may not be able to assess the original problem, and this may affect your warranty.
14. Photographs and Promotional Materials
We take clinical photographs, X-rays and videos before, during and after treatment. These form part of your medical record and are kept as required by law.
We will use your photographs, videos or testimonial on our Website, social-media channels or other promotional materials only with your separate, explicit written consent. You can withdraw this consent at any time by contacting us. Content already published will then be removed from our channels within a reasonable time.
Before-and-after images and case studies on our Website show the results of individual patients. They do not guarantee that you will get the same result.
15. Intellectual Property
All content on our Website, including the Vitrin Clinic name and logo, trademarks, texts, articles, photographs, illustrations, videos, graphics, designs and software, belongs to Vitrin Clinic or its licensors and is protected by intellectual property law.
You may view and print content for your own personal, non-commercial use. You may not copy, reproduce, distribute, modify, publish or use any content for any other purpose without our prior written permission.
16. Protection of Personal Data
We process your personal data, including your health data, in accordance with Turkish Personal Data Protection Law No. 6698 (KVKK) and, where applicable, the EU General Data Protection Regulation (GDPR) and UK GDPR. Health data is a special category of personal data and is processed only under the conditions the law sets for it.

17. Limitation of Liability and Force Majeure
Nothing in these Terms limits or excludes any liability that cannot be limited or excluded under applicable law.
Our Website is provided "as is". We do not guarantee that it will always be available, uninterrupted or error-free, or that its content is always complete and up to date.
To the extent permitted by law, our liability is limited to direct damages that were reasonably foreseeable at the time of the treatment or service.
Where we arrange services provided by third parties, such as flights, hotels or transfers, those providers are responsible for their own services.
We are not responsible for delays or failure to perform our obligations caused by events beyond our reasonable control, including natural disasters, epidemics or pandemics, war, terrorism, strikes, government decisions, flight cancellations or power and internet outages. In such cases, we will contact you and work with you to reschedule your treatment as soon as possible.
18. Complaints, Governing Law and Jurisdiction
If you are unhappy with any part of our Services, please contact our patient relations team first. We will do our best to resolve your concern fairly and quickly.
These Terms are governed by the laws of the Republic of Türkiye. Subject to any mandatory consumer-protection rules that apply to you, the courts and enforcement offices of Istanbul have jurisdiction over any dispute arising from these Terms or our Services.
19. General Provisions
Changes: We may update these Terms from time to time. The version published on our Website at the time you use it applies. We recommend checking this page regularly.
Severability: If any part of these Terms is found invalid or unenforceable, the rest remains in full force.
No waiver: If we do not enforce a right under these Terms, this does not mean we have waived it.
Language: These Terms may be published in several languages. If there is any conflict between versions, the Turkish version prevails.
Entire agreement: These Terms, together with our Privacy Policy, Cookie Policy, [Payment and Cancellation Policy,] your Treatment Plan, your informed consent forms and your Warranty Certificate, form the entire agreement between you and Vitrin Clinic.
